 Imagine having an entire Team dedicated to taking care of your event.  That’s what Event Management is all about.  You have a project manager that puts the event at the top of the task list everyday, an art dept. that takes care of designing all logos & print materials, a data management dept. that takes care of managing all the race entries, a marketing department that coordinates the marketing effort, and a customer service dept handling all questions & emails in a timely manner.

We end up managing the majority of the events we’re involved with.  The reason is simple...it takes the bulk of the work off the shoulders of the groups, and shifts it to us, making the entire process much more enjoyable.  We do this full time, with no other jobs to get in the way.

Pre-Race Support

 Planning:

  • We are able to acquire location, map and obtain necessary permit(s) for your event
  • We would handle all of the financial aspects for you, providing you with a budget, paying vendors, municipalities, etc. as needed.

Marketing:

  • We would market your event, Charity, Sponsors, etc through various venues such as web, email, print, calendars, etc.


Participant & Registration Management:

  • Set up multiple registration portals and manage all inquiries, data entry, etc.
  • Set up online registration system. We utilize Run Sign Up for your registration, fundraising, and results and we even offer Race Day registrations!
  • We are able to help your charity/non-profit Fund-raise, by creating an online Donation and Fundraising linked to your registration site.
  • If you choose, bibs can be chipped or not chipped, depending on your number of participants, what you desire.   If you choose to have your race chip-timed, we will prepare your bibs with our Jaguar timing chips, programmed and ready to go!    We are even able to have bibs custom printed with your logo/sponsor(s).
  • We offer Early Packet Pick Up to allow less stress for your participant(s) race morning/day and you! Our registration portals even allow participants to register online or on their smart phone on-site.
  • Communication with participants are kept up to date in regards to event details, parking, etc. via email and social media.

 Swag/Giveaway:

  • Work with you on prizes and awards
  • Create your logo, if needed
  • Managing t-shirts; coordinate with vendor on logo, ordering, delivery, etc.
  • Awards – ordering of awards/trophies
  • Handling mail out for  virtual participants

Race Day Support

 

Check in/Registration:

  • Staff on hand to set up check in and registration ready to go with up-to-date listing of participant registrations using our many tablet devices!
  • Staff to sort & manage giveaway(s) with registrations
  • We are able to keep online registration open right up to the race start time! Our Race Day Registration table offers people the ability to register online at our computers or on their smart-phone, up until we blow the horn!

On-site:

  • Coordinating all on-site necessities – port-a-johns, power, etc
  • Set up of finish line refreshments
  • Set up for Awards/Results

Timing:

  • We offer several types of timing options, such as bib pulls, chip timing and back up.  We use revolutionary Jaguar  timing software by Innovative Timing Systems to ensure the most accurate race results.  We offer Jaguar disposable bib chips or T-Chips. 
  • We offer 15’ to 32’ metal truss arches for the start/finish with to provide you with a prominent finish.  We have also have Start and Finish Flag banners for use as well.
  • Our Finish Line chute/fencing will help to keep finishers organized and allow us to manage bib pulls and bib scans.

Real-time results:

  • Our touch-screen Results Kiosks allow participants to see and print out their personal race results and rankings after crossing the finish line.
  • Race results are updated throughout the race and put up on a tv screen for easy viewing.
  • Online results will be available promptly after race finish with a Finisher’s Certificate available for printing/download.
  • We offer photography throughout the event for participants that are FREE to download, tag and share on their social media pages such as Facebook, Instagram and/or Twitter.
  • Awards are presented to Overalls and in each Age Group.  We also offer mailing of medals for those that were not able to stay or missed the awards.

Race Timing

Timing & Finish Line Services

One of the key parts of any race event is the finish line, timing & results. It’s not the only piece to having a successful race event, but it is definitely one of the top 3.

For some smaller events we utilize the bib pull system combined with visually capturing the bib numbers of participants as they cross the finish line.  We even use that system as a back up at some of the bigger events.

Most events have switched over to using chip timing.  We have a number of extremely cost effective ways to implement this.  We have invested in several Jaguar Platinum Systems from Innovative Timing Systems.  We use reusable chips that participants wear on their ankle, and then turn back in after the race for smaller races (150 participants or less), or chips that stick on the back of the bibs for the larger races, or for races that have packet pickup prior to race morning.
